How we sell it

One quick sale, one long one.

These two methods are the point of the product line. Each becomes a note-taking template: a Salesforce Sales Cloud opportunity type (Package or Consultative) and a HubSpot deal pipeline.

The Sprout: package sale

A first-time hobby grower, one decision maker, one clear price. There is a single 20 minute call, then a price-sheet quote. Most buyers decide within 7 to 14 days and pay a 20 percent deposit online. Install is booked 4 to 6 weeks out. Add-ons are offered once, at quote time.

The work is speed and accuracy: right quote, right add-ons, right date.

Sales notes template: package

  • Buyer goal (what they will grow)
  • Yard location and flat spot
  • Base choice: gravel pad or skid
  • Add-ons chosen
  • Preferred install window
  • Access for delivery
  • Deposit status (20%)
  • Quote sent date

The Estate: consultative sale

A bigger project with a couple, sometimes an HOA, deciding together. It starts with a free consultation and a site visit with measurements. The written proposal shows good, better and best options, plus the permit, foundation and electrical scope. There is often a financing question. Closing takes 30 to 90 days. A 30 percent deposit starts it, then milestone payments follow. Change requests are normal.

The work is listening, scoping, tracking many open questions and keeping every decision maker informed.

Sales notes template: consultative

  • Decision makers and roles
  • HOA approval needed or not
  • Goals and crops
  • Budget range and financing
  • Site conditions: slope, drainage, sun
  • Power available and distance
  • Permit status
  • Foundation scope
  • Crew access
  • Option chosen: good, better, best
  • Milestone payment status
  • Change request log
  • Target close date
Example Estate proposal, fictional

BestAdds cooling fans and a shade system$29,900

Fictional product for a training environment. Not for sale. Milestone payments for the Estate: 30% deposit, 40% when materials are delivered, 30% at walkthrough.

The long close

The Estate, step by step.

This is the full path of a consultative sale, with who does what and which tool covers it. The Sprout skips most of it:

  1. 20 minute call
  2. Price sheet quote
  3. 20% online deposit
  4. Schedule install
  5. Install, about 1 day
  6. Follow-up call
  1. STEP1

    Lead

A web form or a call creates a lead. Zapier adds it to the CRM and alerts sales. Sales checks the basics: yard access, budget range, timeline.

    • WhenDay 0
    • WhoSales
    • ToolSalesforce Sales Cloud, Zapier

Practice: Import five leads, convert the real one, mark the poor fit.

  2. STEP2

    Consultation

A free video call about goals, crops, size and budget. The customer picks a time from a booking link.

    • WhenDays 1 to 3
    • WhoSales, scheduler
    • ToolSalesforce Scheduler

Practice: Book a consultation, then reschedule it and confirm the change.

  3. STEP3

    Site visit

A rep visits the yard to measure and photograph. They check sun, slope, drainage, access and where power could come from.

    • WhenWeeks 1 to 2
    • WhoSales rep, scheduler
    • ToolSalesforce Scheduler, Sales Cloud

Practice: Fill in the site conditions on the opportunity.

  4. STEP4

    Written proposal

A written proposal with good, better and best options, the base price, the permit and foundation scope and a schedule. Valid for 30 days.

    • WhenWithin 5 business days
    • WhoSales
    • ToolSalesforce Sales Cloud

Practice: Build a quote with line items and read the opportunity amount.

  5. STEP5

    Deposit

The customer accepts and a 30 percent deposit is recorded on the opportunity. No real payment is taken in this practice company.

    • WhenOn acceptance
    • WhoSales
    • ToolSales Cloud, Google Sheets

Practice: Move the opportunity to Closed Won and log the milestone schedule.

  6. STEP6

    Permit check

Check the local rules for a structure this size, the foundation and the electrical work. If a permit is needed, the customer signs the form and the task waits on the board.

    • When3 to 10 business days
    • WhoSales operations
    • ToolJira, Google Sheets

Practice: Track a blocked task and report how long it has waited.

  7. STEP7

    Build scheduling

Book the foundation and install dates with a crew. Confirm materials are ordered. Send a written confirmation.

    • WhenSlot 8 to 12 weeks out
    • WhoScheduler
    • ToolSalesforce Scheduler, Jira

Practice: Handle a customer who needs a different week.

  8. STEP8

    Install

The foundation is done first. Then the crew assembles the frame, panels, doors, vents and electrical. The crew lead posts a daily update. A delay opens a case.

    • When2 to 3 days on site
    • WhoInstall crew
    • ToolJira, Scheduler, Zapier

Practice: Move a card across the board and write the delay notice.

  9. STEP9

    Walkthrough

The crew lead shows the customer the vents, doors and care. The customer signs off. The final milestone is invoiced. A service plan record is created.

    • WhenLast day, 30 minutes
    • WhoCrew lead, support
    • ToolService Cloud, Scheduler

Practice: Close the install case and create the plan entitlement.

  10. STEP10

    Service plan and renewal

Cases arrive by email and form. The entitlement says what the plan covers: parts and service visits. At month 11 a renewal reminder goes out.

    • WhenMonths 1 to 12
    • WhoSupport
    • ToolService Cloud, Zoho Desk or Zendesk, HubSpot

Practice: Work a warranty claim, then draft the renewal reminder.

What goes wrong

Practice cases on this line.

Install delay

Backordered panels push a build a week. Warn early, reset the date, update the board.

Reschedule

The customer wants a different week. Move the slot without breaking the crew calendar.

Cancellation threat

A customer wants out after a delay. Check what the deposit terms allow and respond with facts.

Warranty claim

A panel cracks in month five. Check the entitlement, collect photos, decide.

Billing error

A milestone invoice is wrong. Find the record, correct it, explain.

Permit surprise

The town needs a form nobody expected. Update the customer and the schedule.
